This Privacy Policy applies to all personal information collected, used, and disclosed by Insure Family Future (operated by an independent associate of World Financial Group / WFG) in the Province of Ontario, Canada.

1. Introduction

Insure Family Future (“we”, “us”, “our”) is committed to protecting the privacy and confidentiality of personal information entrusted to us by clients and prospective clients across Ontario. As a licensed insurance agent operating under the Financial Services Regulatory Authority of Ontario (FSRA) and as an independent associate of World Financial Group (WFG), we are bound by applicable federal and provincial privacy legislation.

This Privacy Policy governs our practices in accordance with:

  • PIPEDA: Personal Information Protection and Electronic Documents Act, S.C. 2000, c. 5
  • PHIPA: Personal Health Information Protection Act, 2004, S.O. 2004, c. 3, Sched. A
  • CASL: Canada’s Anti-Spam Legislation, S.C. 2010, c. 23
  • Ontario Insurance Act: R.S.O. 1990, c. I.8 and Ontario Regulation 347/04 (Agents)
  • FSRA Act: Financial Services Regulatory Authority of Ontario Act, 2016, S.O. 2016, c. 37, Sched. 8
  • FIPPA: Freedom of Information and Protection of Privacy Act, R.S.O. 1990, c. F.31

2. Definitions

  • Personal Information: Any information about an identifiable individual, including name, age, health information, financial details, and contact information.
  • Personal Health Information: Information about an individual’s physical or mental health, health history, family medical history, disability, and health insurance claims.
  • Client: Any individual who accesses or receives our insurance advisory or financial planning services.
  • OPC: Office of the Privacy Commissioner of Canada — federal privacy oversight body.
  • FSRA: Financial Services Regulatory Authority of Ontario — provincial regulator for insurance agents and intermediaries.

3. Accountability (PIPEDA Principle 1)

Insure Family Future designates a Privacy Officer responsible for all matters relating to the protection of personal information and compliance with applicable legislation.

We have implemented internal privacy practices and procedures governing how we handle personal information. All staff are trained on their obligations under applicable Ontario and federal privacy legislation.

4. Personal Information We Collect

We collect only the personal information necessary to provide insurance advisory, health benefits, and financial planning services.

4.1 Identification & Contact Information

  • Full legal name, date of birth, gender
  • Residential address in Ontario
  • Email address and telephone number
  • Government-issued ID (for identity verification)

4.2 Financial Information

  • Income, employment status, and occupation
  • Existing insurance policies and coverage amounts
  • Bank account details (for premium payment processing only)
  • RRSP, TFSA, RESP account information (for financial planning)
  • Net worth and estate planning information

4.3 Health & Medical Information (PHIPA-Protected)

  • Medical history and current health conditions
  • Family medical history relevant to underwriting
  • Disability status and details
  • Existing health benefits claims history
Personal health information is collected only with your explicit written consent and handled in strict accordance with the Personal Health Information Protection Act, 2004 (PHIPA). It is disclosed to insurers solely for underwriting and policy issuance purposes.

4.4 Website & Digital Information

  • Contact form submissions (name, email, phone, service of interest)
  • IP address and browser type (via standard web server logs)
  • Cookies and analytics data (see Section 11)

5. Purposes of Collection (PIPEDA Principle 2)

We collect, use, and disclose personal information only for the following lawful purposes:

  • Providing life insurance, health benefits, critical illness, disability, and financial planning services
  • Assessing insurance needs and recommending appropriate coverage
  • Submitting applications to licensed Canadian insurance carriers for underwriting
  • Processing and managing insurance policies and claims inquiries
  • Verifying identity as required under Ontario Regulation 347/04 (Agents)
  • Complying with FSRA licensing, reporting, and supervisory obligations
  • Communicating policy updates, renewals, and relevant regulatory changes
  • Responding to inquiries and providing ongoing client support
  • Meeting legal, regulatory, and audit obligations under Ontario and federal law

We will not use or disclose your personal information for any purpose other than those identified above, except with your consent or as required by law.

6. Consent (PIPEDA Principle 3 & PHIPA)

We obtain your meaningful consent before or at the time of collecting personal information. Consent may be:

  • Express Consent: Expressly given in writing — required for personal health information under PHIPA.
  • Implied Consent: Reasonably implied through your actions or the context of our relationship (for non-sensitive information).

You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to continue providing services. To withdraw consent, contact our Privacy Officer (see Section 3).

Under CASL, we will only send commercial electronic messages (email, SMS) with your express or implied consent. Every message includes a clear unsubscribe option honoured within 10 business days.

7. Limiting Collection (PIPEDA Principle 4)

We collect only what is necessary for the purposes in Section 5, by fair and lawful means. Information is collected directly from you or, with your consent, from insurers, medical professionals, or other authorized parties. We do not collect information indiscriminately.

8. Disclosure & Retention (PIPEDA Principles 5 & 6)

8.1 Third Parties We May Share Information With

We may disclose your personal information, with your consent or as permitted by law, to:

  • Insurance Carriers: Licensed Canadian insurance carriers for underwriting, policy issuance, and claims processing.
  • WFG: World Financial Group for associate oversight, compliance, and administration.
  • FSRA: For regulatory reporting, licence verification, and supervisory obligations.
  • Medical Professionals: Healthcare practitioners for underwriting purposes, with your written consent.
  • Professional Advisors: Legal, compliance, or accounting advisors bound by professional confidentiality.
  • Legal Authorities: Law enforcement or regulators as required by Ontario or federal law, court order, or legal process.

8.2 We Will NEVER

  • Sell, rent, or trade your personal information to third parties
  • Share your information with marketers or advertisers
  • Disclose health information without your express written consent (except as required by law)

8.3 Retention

Personal information is retained for a minimum of 7 years following the termination of an insurance relationship, in accordance with the Ontario Insurance Act and FSRA requirements. Personal health information is retained per PHIPA’s prescribed retention schedules. Records are securely destroyed when retention periods expire.

9. Accuracy (PIPEDA Principle 7)

We take reasonable steps to ensure your personal information is accurate, complete, and up-to-date. If you identify inaccurate information, we will correct it promptly upon request. Please notify us of any changes to your personal information to ensure your records remain current.

10. Safeguards (PIPEDA Principle 8)

We protect personal information using security measures appropriate to its sensitivity, including:

  • Encrypted digital storage and secure password-protected systems
  • Locked physical files for paper records
  • Restricted access on a need-to-know basis only
  • Secure destruction of records when no longer needed (shredding / permanent digital deletion)
  • Ongoing staff training on PIPEDA and PHIPA obligations
  • Errors and Omissions (E&O) insurance as required by FSRA Ontario Regulation 347/04

10.1 Data Breach Notification

In the event of a data breach posing a “real risk of significant harm,” we will:

  • Report the breach to the Office of the Privacy Commissioner of Canada (OPC) as required by PIPEDA
  • Notify affected individuals directly in a timely manner with details and steps taken
  • Maintain breach records as required under PIPEDA’s breach record-keeping obligations
Failure to report a breach under PIPEDA can result in fines up to $100,000 per violation. We have internal breach response procedures in place and take this obligation seriously.

11. Website Use & Cookies

Our website (insurefamilyfuture.com) uses cookies and standard analytics tools to improve user experience. Non-personally identifiable data such as browser type, pages visited, and time on site is collected solely to improve website functionality and is not linked to personal information without your consent.

You may disable cookies through your browser settings at any time. Disabling cookies will not affect your ability to use the contact form or receive insurance services.

12. Electronic Communications — CASL Compliance

Under Canada’s Anti-Spam Legislation (CASL), we send commercial electronic messages (email, SMS) only where we have:

  • Express Consent: You opted in via our contact form or another explicit mechanism.
  • Implied Consent: An existing business relationship within the past 2 years (existing clients).

Every commercial electronic message we send will include:

  • Our full business name and contact information
  • A clear, functional unsubscribe mechanism honoured within 10 business days

To unsubscribe, reply “UNSUBSCRIBE” to any email or contact our Privacy Officer directly.

13. FSRA & Ontario Insurance Act Obligations

As a licensed life insurance agent in Ontario, we are subject to the following specific obligations:

  • Licensing: Licensed with FSRA and compliant with all agent reporting requirements under Ontario Regulation 347/04.
  • E&O Insurance: Errors and Omissions insurance maintained as required by FSRA.
  • Conduct Standards: FSRA’s Principles of Conduct for Insurance Intermediaries are followed — including fair treatment of clients, transparency, and suitability of recommendations.
  • Regulatory Audit: FSRA may audit our client files as part of its supervisory mandate. Information may be disclosed to FSRA as required by law.
  • Breach Obligation: Under the Ontario Insurance Act, we are obligated to notify you of any breach of your private information and take immediate corrective action.
  • Independence: We operate as an independent associate of WFG and are not an employee of any insurer. Our recommendations are based on your best interests.

14. Your Rights — Access & Correction (PIPEDA Principles 9 & 10)

You have the right to access your personal information held by us and to request corrections to any inaccurate or incomplete information. To exercise these rights:

  • Submit a written request to our Privacy Officer (see Section 3)
  • We will respond within 30 days of receiving a complete written request
  • We may ask you to verify your identity before releasing personal information
  • There is no fee for accessing your own information in most cases

If we are unable to fulfill your request, we will provide written reasons and inform you of your right to file a complaint with the Office of the Privacy Commissioner of Canada (OPC).

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or applicable legislation. The current version will always be posted at insurefamilyfuture.com/privacy-policy. The “Last Updated” date at the top reflects any revisions. Continued use of our services after an update constitutes acceptance of the revised policy.
